Why I Started Keeping a Buying Checklist
Six years ago, I almost signed off on a $4,800 order for the wrong gas detection kit. The sales rep had all the right answers, the spec sheet looked solid, and the delivery date worked. It wasn't until a colleague asked, “How will you verify the calibration?” that I realized I didn't have a process.
I'm the person who handles instrument purchasing for an HVAC and building diagnostics team. I've personally made—and documented—seven significant buying mistakes, totaling roughly $14,000 in wasted budget. I now maintain the checklist below so our team stops repeating my errors.
This checklist is for anyone buying a gas leak detector, a thermal camera, or any precision instrument used in front of clients. It assumes you've already read the spec sheets and now need to avoid the expensive blind spots. There are six steps.
1. Define the measurement task before the model number
Don't start with “I need a testo 316-2 gas leak detector.” Start with what you're trying to find. Are you searching for natural gas leaks in pipe joints, or do you need to quantify the concentration for a report? The testo 316-2 is a solid handheld gas leak detector for methane and propane, but it's not the same as a multigas analyzer. If you buy the wrong category of instrument, the device isn't bad—the selection is.
Everything I'd read about equipment selection said to buy the best instrument you can afford. In practice, I have a drawer of expensive accessories that were the wrong solution for the actual task. Write your application in one sentence. If you can't, get more site information before you order.
2. Confirm calibration support before you pay
A gas detector is a safety tool. Don't rely on “new in box” as a substitute for a calibration certificate. Ask for the certificate date, due date, and whether it meets your own QA requirements. With testo, you can often retrieve a copy through the testo login portal. That sounds minor until you lose a certificate for a $900 detector and spend two days trying to reconstruct it. (Should mention: the detector was fine. The missing paperwork was the problem.)
I'm not a calibration metrologist, so I can't speak to every standard. What I can tell you from a buyer's perspective is that if a supplier can't explain calibration traceability before you order, they won't be more helpful after.
3. Verify the channel you're buying from
This is the step I least want to admit. I bought a “deal” on a thermal imaging camera once and only later confirmed it was gray-market stock. The price was competitive, but support was not.
Ask for proof that you're buying from an authorized channel. This matters for all precision gear, including encoder distributors. An encoder can sit on a shelf for years; proper storage, handling, and manufacturer support matter. If a distributor can't name the manufacturer's rep or produce a distributor agreement, that's a red flag.
Per FTC advertising guidelines (ftc.gov), claims like “authorized” or “calibrated” have to be truthful and substantiated. That's not just legal language—it's a practical filter for separating real suppliers from resellers who just repeat the listing.
4. Test the actual unit before you trust it
If you can only buy one thermal camera, don't make that decision from memory. Try the actual unit on a real job before you standardize on it. I know that's not always possible, but there are workarounds: rent one, borrow one, or ask the distributor to demo it.
For a gas detector, test with calibration gas. For a temperature instrument, check it against a known reference. For a thermal camera, take images of a heat source and compare them on a PC, not just on the small screen.
This is the step most people ignore because the brand name feels like enough. The surprise wasn't unit-to-unit variance; it was how much variance existed. We found a 4% reading difference between two new units of the same model. The less expensive model actually outperformed the more expensive one in that specific test.
I don't have hard data on how often this happens across all brands. Based on our orders over the last five years, my sense is it's common enough that a quick test is always worth the time.
5. Treat country of origin as a clue, not a conclusion
If you've ever typed “where are Mitutoyo calipers made” into a search bar, you're not alone. Mitutoyo is a Japanese company, and the calipers I've opened over the last six years have been marked Japan. But a general answer is less useful than a batch-specific answer.
It took me 3 years and about 150 orders to understand that brand reputation is context-dependent. A Japanese caliper is not automatically the right tool for every job. A German gas detector is not automatically the right detector for every application. The question is whether the supplier can show you their inspection process, calibration traceability, and after-sales support.
That's why I'm not going to give you a one-line verdict on where anything is made. The instrument in your hand is the only spec that matters. If you can't verify it, the flag on the label is decoration.
6. Budget for the impression the instrument makes
Here's where I changed my mind. I used to think quality was only about accuracy specs. Then a client watched me do an inspection with a thermal camera that had dead pixels. The findings were right, but the client kept looking at the screen and asking if the image was “supposed to look like that.” It cost me credibility on an otherwise clean report.
Quality isn't vanity. It's part of the deliverable. When I upgraded from the budget thermal camera to a better one, client feedback scores improved by about 23%. The extra cost per inspection was around $50, and it translated to noticeably better client retention. At least, that's been my experience with client-facing inspections.
Now, I'm not saying you should buy the most expensive option or make your client pay for a brand badge. But if the tool shows up in the report, in the meeting, or on the job site, it's part of your brand image. The cheap version can be correct on paper and still expensive in the customer's perception.
Final checks I run before every order
Before I hit send on a purchase order, I run through this list:
- Have I confirmed the actual measurement task, not the model name?
- Is calibration documented and traceable?
- Is the supplier authorized, and can they prove it?
- Have I tested the unit or arranged a demo?
- Do I know what accessories are included—calibration gas, case, charger, report?
- Will the final output help or hurt how the client sees my team?
I have mixed feelings about extended warranties. On one hand, they feel like profit generators. On the other, the one time I skipped a service contract on a safety-critical detector, the instrument failed at 13 months and the repair cost more than the contract. My rule now: buy the service contract for gas detectors, skip it for simpler tools, and keep the testo login details somewhere you can find them.
The checklist isn't about being perfect. It's about making the same mistake only once. The equipment I own now isn't flawless, but the process around it is much harder to fool.
